Terms and Conditions

The following standard terms and conditions apply to all bookings to conference/delegate/visitor registrations for events (each an “Event”) organized by AAM Airport Masterclass

1. DEFINITIONS

In these Conditions:-

1.1. The following words and expressions have the following meanings:-

“Booking” Delegate booking with AAM Airport Masterclass to attend the Event;

“Booking Form” the online booking form completed by Delegate to book Delegate place at the Event;

“Conditions” the terms and conditions upon which AAM Airport Masterclass will organize and hold the Event, and to which Delegate Booking is subject, as set out in this document, together with any special conditions set out on the Booking Form;

“Contract” the contract between AAM Airport Masterclass and Delegate for Delegate attendance at the Event;

“Delegates” the Persons Delegate register to attend the Event on Delegate behalf as shown on the Booking Form;

“Event” the all trainings, summits, networking events and conferences;

“Fees” the total fees payable to AAM Airport Masterclass for Delegate attendance at the Event as shown on the Booking Form;

“Force Majeure Event” as defined in Condition 7.2;

“Person” an individual, body corporate, limited liability partnership, governmental body, economic entity or any entity having a separate legal personality;

“Registration Fees” the fees payable to AAM Airport Masterclass for registering Delegate to attend the Event as shown on the Booking Form;

 “Delegate” the Person who enters into the Contract with AAM Airport Masterclass .

1.2. the singular includes the plural and vice versa, and words importing one gender include all genders.

1.3. headings are for ease of reference only.

 

2. BOOKINGS & EVENT ACCESS

2.1. All Bookings are made subject to these Conditions.

2.2. Only these Conditions shall apply to the Contract, and shall override any other terms, conditions or warranties Delegate may seek to impose. Attendance at the Event is conclusive evidence of Delegate acceptance of these Conditions.

2.3. Any variation to these Conditions shall not apply unless agreed in writing by AAM Airport Masterclass .

2.4. Delegate confirms that the Person who signs or completes the Booking Form on Delegate’s behalf is duly authorized to do, and AAM Airport Masterclass are under no obligation to enquire as to the state or authority of such Person to contract on Delegate behalf.

2.5. By registering online, Delegate accepts to be added to the Attendee List and for their logo to be featured on the AAM Airport Masterclass website.

2.6. Completion of the Booking Form is an offer by Delegate to attend the Event, but the Contract has not been formed until AAM Airport Masterclass have accepted Delegate Booking by email confirmation. All registrations are subject to acceptance by AAM Airport Masterclass . If Delegate registration is received in advance of the Event, it will either (i) be confirmed in writing (including, without limitation, by email), or (ii) if written confirmation is not sent within 14 days of AAM Airport Masterclass receiving Delegate registration, be deemed to be confirmed unless AAM Airport Masterclass notify Delegate otherwise. If Delegate registration is received only at the Event itself, it will be confirmed by the act of AAM Airport Masterclass permitting Delegate entrance to the Event. A contract between AAM Airport Masterclass and Delegate will only be formed upon such confirmation.

2.7. AAM Airport Masterclass reserves the right to refuse to accept any registration. The Event is a private trade show open to the trade only, and not open to the public. Individuals who cannot document their direct, professional affiliation to the trade are not qualified to attend the Event.

2.8. AAM Airport Masterclass Events are principally directed at business professionals.  They are generally not intended for children under the age of sixteen.  Without limitation to the foregoing, there may be some areas of our Events where it is inappropriate or impractical for children under the age of sixteen to be present (for example, during executive conference workshops).

2.9. AAM Airport Masterclass reserves the right at any time to restrict entry to such areas accordingly, or to eject from, the Event, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who, in the opinion of AAM Airport Masterclass , represents a security risk, nuisance or annoyance to the running of the Event. Delegate agree to comply with all reasonable instructions issued by AAM Airport Masterclass , the venue owners, security personnel and/or management at the Event.

2.10. Delegate agrees that he/she will not, nor will its employees or representatives conduct any type of function, meetings, receptions, hospitality of any kind in the Facility or any participating hotel’s meeting rooms, public areas, hospitality suites or suites during the event hours without the prior written consent of AAM Airport Masterclass . AAM Airport Masterclass reserves the right to collect a commission from any such functions booked by attendees. 

2.11. “Outboarding” is strictly prohibited. Outboarding refers to a Person (could be Delegate, Exhibitor or Sponsor but not limited to) who hosts the delegates, exhibitors, speakers, sponsors or media from AAM Airport Masterclass during set-up days or event days or right after the event, without Organisers’ approval. Companies that engage in outboarding may be prohibited from participating at AAM Airport Masterclass as determined by Organizers. Registration badges will not be issued to any employee of a company engaged in outboarding. Exhibiting companies are encouraged to protect their investment and report any outboarding to Organisers.

2.12. “Suitcasing” is strictly prohibited. Suitcasing refers to the practice of attending a trade show as a delegate to solicit business without purchasing an exhibition stand. The only legitimate location to conduct business during event hours is within contracted exhibition area on the Floor plan. Samples, giveaways, catalogs, pamphlets, souvenirs, industry publications and printed promotional material of any kind may be distributed only by an exhibitor and its representatives (including hosts and hostesses) and only within the confines of their stand/ booth, with the exception only of designated sponsorships and marketing opportunities for which exhibitor has contracted with Organizers. Violations should be reported to Organizers.

 

3. BOOKING PAYMENT CONDITIONS

3.1 All bookings made prior to the event must be paid in full to guarantee registration. Once payment has been received, an email confirmation and a receipted invoice will be sent. If payment is not made at the time of booking, registration will be provisional.

3.2 Bookings received less than (2) two weeks before the conference date can only be paid by credit card.

3.2 In order to qualify for any “early bird” rates or discounts, booking and payment must be received before the deadline date listed in the conference marketing material.

3.3 The cost of the registration is per person and plus 5% VAT where applicable.

3.4 The cost of Delegate’s visa, flights, transfers and accommodation are settled by Delegate themselves and AAM Airport Masterclass does not have any liability for these.

3.4 AAM Airport Masterclass are not able to issue visa invitations for any event registrations without an advance prepayment of 25% deposit from the total invoice cost. This deposit is nonrefundable but it is fully transferable to the next edition of AAM Airport Masterclass(subject to written agreement). With regards to the Visa, it is the Delegate’s sole responsibility to take care of visa application. AAM Airport Masterclass will not contact embassies and consulates on Delegate behalf.

3.5 The invoice to be paid in full within 7 days from the registration or the remainder to be paid upon the visa receipt (if applicable).

3.6 Non-payment of delegate fees within the time specified above shall be grounds to deny admittance to the event. Any late payments done after the event will incur an additional 1.5% interest for each extra day after the event.

3.7 Delegate registration is issued for Delegate personal use only. Delegate may not procure registrations as an agent for any third party, sell or otherwise transfer Delegate registration to others or exploit Delegate registration commercially or non-commercially in any way.

3.8 After a delegate’s registration is completed, AAM Airport Masterclass reserves the right to review the information provided by the delegate and adjust the registration ticket type and fee if it is found that the information provided by the attendee has been misrepresented, false or incorrect. Any adjustment to fees will be charged directly to the payment method on file.

 

 4. CANCELLATION POLICY

4.1 AAM Airport Masterclass cancellation policy allows for a refund, less a 35% administrative charge, for cancellations received in writing at least six (6) weeks prior to the first event date. No refunds will be made after this date.

4.2 In the event the registered Delegate is unable to attend, the pre-paid delegate fee is fully transferable to a substitute at the Delegate’s company (subject to written agreement).

4.3 Any fees not paid by original registrant will be applied to substitute’s fees.  By submitting Delegate registration, Delegate authorize AAM Airport Masterclass to invoice Delegate for any unpaid portion of Delegate registration fee.

4.4 If a registered delegate does not cancel and fails to attend the conference, this will be treated as a cancellation and no refund or credit will be issued.

4.5 Should AAM Airport Masterclass postpone an event, Delegate registration will automatically roll over to the new date. If an event is cancelled, a credit will be immediately issued for up to 12 months after the notification of event cancellation, to attend another AAM Airport Masterclass program of the registrant’s choice.

4.6 AAM Airport Masterclass reserves the right to postpone or cancel an Event without liability at any time for any reason (whether or not due to causes beyond the reasonable control). Where an Event is postponed, Delegate registration will be valid for any re-scheduled edition of that Event (unless AAM Airport Masterclass notify Delegate otherwise).

 

4. THE EVENT

4.1 AAM Airport Masterclass Organisers are providing this event in good faith and cannot accept liability for no shows, canceled meetings or directory omissions. All information is correct at the time of going to press;

4.2 The Organisers cannot guarantee the number of attendees to be present at the event, any number of expected attendees is a reasonable estimate. The Organizers are not responsible to ensure the presence of delegates at the event that have confirmed their attendance, absence or location of any attendee or other participant of the Event remains a sole responsibility of the delegates;

4.3 The Organisers have no responsibility or liability for any third-party services provided in connection with the Event.

4.4 AAM Airport Masterclass reserves the right at any time to change the format, participants, content, location and timing or any other aspect of an Event, in each case without liability.

4.5 AAM Airport Masterclass Organisers reserve the right to use delegates’ mobile phone for quick chats, texts, whatsapp messages on both working day 1 and working day 2 of the event. This will facilitate the streamlined rescheduling in the event of any cancellations or no-shows for the pre-arranged one-on-one meetings. Every delegate consent to this process during their online registration by checking the “Accept Booking Conditions” box.

4.6. The Organizers reserve the right to cancel or change the dates of the Event at any time and for any reason without liability. This includes cancellation or change of the Event dates on account of any circumstance including but not limited to fire, flood, earthquake, epidemic or pandemic, forced cancellations – postponements or suspension of the event by decree or instructions by government or other public body, or the venue, hotel or similar organization, their rules or regulations at any time, including during the event, military operations, strikes, third party contractor/supplier failure, civil riot, passing laws or legal and others acts (Event of Force Majeure);

4.7. If the event is canceled by the Organisers and at the Organiser’s discretion, the Organizers shall immediately notify the Delegates in writing. All delegates will be automatically carried over to the next event when it becomes available. In this case, please contact AAM Airport Masterclass for more information;

4.8. In the event of complete cancellation by the Organisers, all paying Delegates are eligible to claim a prepayment on the account to be refunded. Refunds will be organized at Organiser’s timeframe;

4.9. The Organisers carry absolutely no liability whatsoever for the costs of personal arrangements, including, without limitation, travel and accommodation incurred by delegates as a result of cancellation or postponement of the event. In case of the cancellation due to the event of force majeure or at Organisers discretion, the Organisers bear no responsibility for any additional costs or financial loss of delegates/exhibitors/sponsors/event’s hosts. All such costs remain at Delegate own risk even if the Event is canceled or postponed to new date(s)/location/year.

4.10. AAM Airport Masterclass reserves the sole right to use any photographs, recordings, electronic images or publicity material received by or obtained by AAM Airport Masterclass in the course of the event. AAM Airport Masterclass has the exclusive right to include photographic, video and other visual portrayals of Attendees, Sponsors, Exhibitors and their Exhibits including its contents, in any pictorial medium of any nature whatsoever for the purpose of trade, advertising, sales, publicity and otherwise, without compensation to the Attendee, Sponsor or Exhibitor, and all rights titled and interest bearing (including all worldwide copyrights therein) will be AAM Airport Masterclass sole property, free of any claims of Attendee, Exhibitor or Sponsor or any persons deriving any rights or interest from the Attendee, Exhibitor or Sponsor. All unauthorized filming, sound recording and photography, or the unauthorized transmitting of audio or visual material, data or information, is expressly prohibited at the Event.

 

5. SPEAKERS

5.1. Views expressed by speakers are their own. AAM Airport Masterclass cannot accept liability for advice given, or views expressed, by any speaker at the conference or in any material provided to attendees.

5.2. AAM Airport Masterclass may use the speaker’s name and presentation materials for promoting attendance at the conference. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author.

5.3. Main Stage presentations must be objective and for educational purposes only; completely free of advertising and commercialism.

5.4. AAM Airport Masterclass may audio and/or video tape the speaker’s session and the recording may be reproduced and sold as part of the overall conference materials. AAM Airport Masterclass may reproduce copies of the speaker’s presentation on paper and/or electronically and these may be sold as part of the overall hand-out materials during the conference and after the event.

5.5. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation, as these will be distributed to the conference delegates. Speakers who do not wish to give permission for the above terms and conditions should contact the events team before the commencement of the conference.

 

6. DATA PROTECTION

6.1 By providing contact details in the registration form, the Delegates give their permission to being contacted (by phone, email or post) by the Organisers for communication and marketing purposes related to AAM Airport Masterclass and/or for future events and services.

6.2 At any given time, the Delegate can opt-out of receiving marketing material by emailing the Organisers.

6.3 Where the parties are subject to the provisions of the General Data Protection Regulation (EU 2016/679) (“GDPR”) as a result of processing personal data pursuant to the Order Form, the following shall apply: Data Protection Law: the GDPR and the Directive, as amended or replaced from time to time, and all other national, international or other laws related to data protection and privacy that are applicable to any territory where AAM Airport Masterclass or Company processes personal data or is established.

6.4 For the purposes of either party’s processing of personal data in connection therewith, the parties agree that each party acts as a data controller. Each party shall (i) only process personal data in compliance with, and shall not come itself or the other party to be in breach of, Data Protection Law, and (ii) act reasonably in providing such information and assistance as the other party may reasonably request to enable the other party to comply with its obligations under Data Protection Law. If either party becomes aware of a Reportable Breach relating to the processing of personal data in connection with the Order Form, it shall (i) provide the other party with reasonable details of such Reportable Breach without undue delay, and (ii) act reasonably in cooperating with the other party in respect of any communications or notifications to be issued to any data subjects and/or supervisory authorities in respect of the Reportable Breach. If either party receives any communication from any supervisory authority relating to the processing of personal data in connection with the Order Form, it shall (i) provide the other party with reasonable details of such communication, and (ii) act reasonably in co- operating with the other party in respect of any response to the same.

6.5. The personal information which Delegate provide to AAM Airport Masterclass will be held by AAM Airport Masterclass on a database and, where AAM Airport Masterclass have appropriate authorization/consent, may be shared with other entities within the Informa Group and selected third parties internationally for marketing purposes. Delegate personal information may also be shared with government entities and regulatory authorities as required by law.

6.6. If Delegate choose to allow Delegate badge to be scanned at an Event, AAM Airport Masterclass may pass the information Delegate provide to third parties. For more information speak to the AAM Airport Masterclass Organisers directly.

 

7. WEBSITE

7.1 AAM Airport Masterclass conference associated websites may link to other sites and networking tools provided for the convenience of the delegates. The contents of these are maintained by their owners, for which AAM Airport Masterclass takes no responsibility.

 

8. INSURANCE

8.1 It is the responsibility of the attendee to arrange appropriate insurance cover in connection with their attendance at the conference. Subject to the remainder of this paragraph, AAM Airport Masterclass excludes all liability for loss, injury or damage to persons or property at the Event. All indemnities, warranties, representations, terms and conditions (whether express or implied) except as set out herein are excluded. AAM Airport Masterclass accepts no liability for any loss, injury or damage whatsoever that Delegate may suffer in connection with or arising from the Event whether direct, indirect, incidental, special or consequential (including, without limitation, loss of profit, loss of business or any other type of economic loss) or otherwise. The limitations and exclusions in this paragraph only apply to the extent permitted by applicable law.

 

9. GENERAL

9.1. AAM Airport Masterclass -issued credentials are the sole property of the Conference Organizer and must be surrendered upon demand to AAM Airport Masterclass representatives.  AAM Airport Masterclass -issued credentials must be prominently displayed while at the conference or designated off-site activities.  False certification of an individual as an attendee or exhibitor’s representative, misuse of an attendee badge, or any other method to assist unauthorized personnel to gain admittance to the conference and/or exhibit floor, will be a just cause for expelling the attendee and his/her representative(s) from the conference and/or banning them from future entrance into the conference.  This would also warrant the removal of the exhibitor’s stand/ booth from the floor without obligation on the part of AAM Airport Masterclass for refund of any fees.  The attendee, exhibitor, his/her employees and agents, and anyone claiming to be in the conference through the attendee, waives any rights or claims for damages arising out of the enforcement of this rule.

9.2. In the event of force majeure, AAM Airport Masterclass shall not be liable for delay or failure of performance or fulfillment of this Agreement caused by an act of God; action by any governmental or quasi-governmental entity; fire, flood or other disaster; pandemics and/or epidemics; nuclear, chemical or biological contamination; public enemy; insurrection; riot; explosion; embargo; terrorist attacks; strikes whether legal or illegal; labor or material shortage; work slowdown; transportation interruption of any kind; authority of law; any Show building being destroyed or substantially damaged; or any other cause beyond the control of AAM Airport Masterclass(“Force Majeure Event”).  In the event the conference cannot be held or is postponed pursuant to this section, AAM Airport Masterclass shall not be liable to attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.  AAM Airport Masterclass will review refund and/or fee transfer requests, submitted in writing, for approval on a situational basis.

9.3. AAM Airport Masterclass reserves the right to amend these terms and conditions (without notice) from time to time and Delegate will be subject to the terms and conditions in force at the time that the Event is staged.

9.4. Contract Documents: The documents that make up the Contract are the Booking Form and these Conditions. However, if Delegate seek to rely on something which Delegate can reasonably assume from the facts, Delegate must give AAM Airport Masterclass written details and AAM Airport Masterclass reserve the right to accept or reject such an addition to the Contract.

9.5. Governing Law: This Contract shall be governed and construed in accordance with the laws of the United Kingdom. Organizer and Client agree that any and all disputes in any way relating to, or arising out of this Contract or the assignment, use, denial, change, or cancellation of Space or any other aspect of the Package, shall be submitted to the United Kingdom arbitration for resolving such disputes.

 

 

Disclaimer: AAM Airport Masterclass may at any time, with or without giving notice, in its absolute discretion and without giving any reason, change, cancel or postpone the conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. In any case, neither AAM Airport Masterclass nor any of its officers, employees, agents, contractor, members or representatives shall be liable for any loss, any alleged and/or actual claims, actions, lawsuits, proceedings, penalties,  liability, damage or expense suffered or incurred by any person, nor will they return any money paid to them in connection with the conference unless they are satisfied not only that the money in question remains under their control, but also that the person who paid it has been unfairly prejudiced, about which the decision shall be in their sole and unfettered discretion and, when announced, final and conclusive.
